Adding a task
Once your project is created, you can immediately start adding tasks and assigning them accordingly. Depending on the view, the way you can add tasks varies. The easiest way is therefore to do this via the global function in the side panel.
Click on "Add Task" in the opened panel. Give the task a name and decide in which project it should be placed and when it should be done.
You can select the due date from a calendar. Use the arrow keys to jump back and forth between months. The current date is outlined in light blue, while the date you selected is outlined in dark blue. If the task has to be done at a much later date (e.g.: in five years), you can choose between months by clicking on the month name and between years by another click on the year number.
After you click on "Create", the task will be added to your project. When you click on it within your project, you can add a lot of additional information and details to your task.
The fields of your task are fixed and can be changed in the project settings. With a business plan, you can add custom fields.
Notes allow you to collect all the information about the task in bullet points or a continuous text. Click the arrow icon on the right edge of the notes field to work in a large text box.
If you decide to work in the large text box, you can choose between Markdown, HTML, and plain text.
HTML and Markdown offer different possibilities to design your notes. In addition to images, links, and even code view, you have four different options to fully customize the note field for your application.
If you did not choose a due date when you created the task, you can do so at any time within the task details. Unlike when creating the task, you now have the option to include time and add an end date. Click on the button to activate the respective functions.
To avoid missing anything, you can set reminders for the task. Just like with due dates, you can set a time and date for this.
Once you have added a due date, you can then also set a recurrence. A recurrence creates copies of the associated task regularly. When creating a repetition, you can choose in which intervals the task should be completed, on which day of the week it should be repeated, and when the repetition should end. For the end of a repetition, you can either select a concrete date or choose how often the task should be repeated.
The Workload field allows you to specify numeric values. For example, you could enter in this field how long it will take you to complete the task, how much it will cost to complete the task, how many employees are needed to complete the task, and much more. In the project settings, the field properties can be changed at any time and units can be added to numeric values. With the small arrows on the right side of the number field, you can change the number or type in a new number manually.
With the field "Assigned to" you can assign a task to members of your project. With one click you can either search for members using the search bar. If the person you want to assign the task to is not yet a member of Zenkit Projects, you can also click "Add Member to Project" to invite them.
You can attach files to each task. You can do this either by dragging and dropping, selecting a file on your device, or by importing from external sources, such as Dropbox, Google Drive, or Box. In addition, you can enter links and add drawings.
Select a tag
Tags allow you to differentiate between tasks even better. Details can be made more visible and highlighted. To add tags to a task, click on the field. If you have already created tags, you can search for them here or create new ones.
Newly created tags are automatically given some color first. To edit the tags, click the "..." icon to change the properties.
You can change the colors by clicking on the colored circles. A small window will open where you can choose from different colors. You can also decide if you want to allow multiple selections and if you want to allow the creation of labels within categories. If the toggle is green, it means yes. Furthermore, you can select a default label.
Zenkit Projects allows you to assign subtasks to each task. This automatically creates a hierarchical order. Clicking on a subtask opens the associated task details. Subtasks can also be assigned to other subtasks. With a click on the search icon, you can search for the desired subtask within the tasks of your project or create a new one by typing.
With the help of the dependencies, you can note both the predecessor and the successor of a task. This makes it easy to coordinate and monitor the progress of various interdependent tasks, even in a large team. You can also select whether the task is a milestone for your project.
Especially in the Kanban view, it can become very confusing if the tasks of all levels are displayed bundled. This can be changed quickly. To do this, select the filter icon at the top of your project and add the condition "Subitem". Here you can select the ones you want to be displayed with in the view. Save the filter to access it quicker the next time.
