Date fields are a powerful way to schedule short tasks and meetings, or longer events. Set start and end dates, add an expected duration, and add personal reminder notifications. Never forget a date again!



Change the date and time format

You can change how dates and times are displayed in your calendars from your profile settings. Learn more here.
 

Add a date

To schedule a date, click on the date field in detail view, or click on the date cell in table view. A new window will pop up showing a calendar with various options underneath.
 


Click on a date to assign it. The current date is highlighted with light blue, and the date you’ve assigned is a darker blue. Click 'Save' to save your date. To un-schedule, an item, or remove the date and time, click "Clear date" at the bottom of the menu. 


Add a time

To add an exact time, click the "Include time" toggle so it appears green. The current time is selected by default. Choose a new time by clicking the up and down arrows, entering a time in the time field, or clicking on the numbers to quickly choose from 1 hour and 15-minute intervals.


To remove the time, click the toggle again. 


Add an end date

If your task, event, or project lasts more than one day, it's helpful to be able to show that which is why we built-in end dates for date fields. 


To add an end date, click the toggle next to "End date". 



The end date field works exactly like the normal date field in that you can select any date and any time that suits you. You can't select a date that occurs before the start date, and if you choose to have a time on one, then you have to have one on the other too. 


To remove an end date, just click the "End date" toggle again. 


Add a duration

Maybe your project doesn't take longer than a day but still represents a significant time investment. If that's the case, duration is probably more helpful than an end date. To add a duration, click the toggle next to "Duration". 



You can set the duration to be anywhere from a day to several years! Just select your time period from the dropdown menu. 

Please note: you can not have both an end date and a duration. To remove a duration, just click on the toggle again.

Add a reminder

Reminders can be set to notify you when a task, item, or event is due, as defined by the start date and time (note: a time must be assigned for a reminder to work). You can set reminders to occur any where from one minute to years before or after the date! All reminders you set are personal reminders, meaning that only you will receive the reminder notification. 



To add a reminder, click on the toggle next to "Reminder". Set the number, unit, and whether it should remind before or after the date, then click "Save". This will assign a reminder for that single item. You will be able to see the reminder listed in green (or yellow or red!) under the time and date on the item. Add a default reminder

Setting a default reminder means that any item you assign a date to will have a reminder already assigned to it. To do this, click on the date field name, then select "Set default reminder" from the actions section. This will assign the reminder to all new and edited dates. 



If you want to set this reminder for all items in your collection, including those that already have a reminder set, then select the checkbox next to "Add this reminder to existing items". This option will override all existing reminders and apply the new default reminder. A default reminder is signified by a clock icon next to the field name, instead of next to the assigned date. To change the default reminder, click on the clock icon.


Note: If you add or change a personal reminder on an item, this will override the default reminder for that item.
 

Edit a reminder

To edit a reminder, click where it says how long you have till the item is due (located under the date). Choose a new reminder time in the popup box and click "Save". 


Delete a reminder

To delete a reminder, click on the reminder, then click the toggle next to "Reminder" in the date editor. 


Reminder notifications

Reminder notifications will pop up when you're due to be reminded. You can click on the notification to open the item that's due.
 Yellow notifications appear at the time you set your reminder (e.g. due in 5 minutes). This will also change the color of the date field on item badges to yellow.


Red notifications occur when an item is past due (e.g. due 5 minutes ago). This will also change the color of the date field on item badges to red. Red notifications will also appear if you log into Zenkit past the due date of an item, or if you snooze an item beyond its given due date and time.



Accept a reminder

To accept a reminder, click the checkmark on the notification, or click the checkbox next to the reminder on the item itself. This will tell Zenkit that you have seen the notification and that the task is done. 

Snooze or ignore a reminder

You can snooze a reminder to show again by clicking the clock icon under the checkmark. 


You can snooze the reminder for 8 minutes, 1 hour, or one day, or click ignore to remove the yellow reminder notification but to keep the date field itself yellow. 


Show time in calendar

A helpful aspect of adding a time to an item is that it'll automatically sort the items in your calendar by time. You can move the date field up in the details view to make the time show on the item badge in a calendar. To learn more about changing item size, read our article on item size!


Your calendars are now accessible even without an internet connection. Even appointments that you have synchronized via iCal are now available offline.
